Blurry text, a clipped signature, or pages saved in the wrong order can make a PDF frustrating to use. A few checks while scanning usually take less time than asking someone to resend a document.
Set up the page before opening the camera
Put the page on a flat surface with enough contrast for its edges to stand out. Use steady, even light. Move a lamp or your hand if it casts a shadow, and avoid direct glare on glossy paper. Clean the camera lens and hold the phone roughly parallel to the page.
Keep the whole sheet in view before capture. If the edges blend into the background, place the document on a darker surface. For a stack, remove clips or turn pages in a consistent direction so you do not lose your place.
Check the crop, not just the preview
Automatic edge detection is a starting point, not a guarantee. Before accepting the scan, inspect all four corners. Make sure no line, page number, signature, or small note is cut off. Rotate the page if needed and retake any scan that is soft or shadowed rather than hoping it will be readable later.
Color settings have trade-offs. Color can preserve stamps, highlights, and diagrams; grayscale or black and white may make plain text easier to review and can produce a smaller-looking file. Check the actual result at normal reading size instead of choosing a filter by appearance alone.
Keep multi-page scans in the right order
After each page, pause long enough to confirm it was captured. For a longer document, scan from the first page to the last and compare the thumbnails or page sequence before saving. If the scan app lets you combine pages or documents into one PDF, confirm that the merged file starts and ends where you expect.
Apple’s Notes and Files apps can also scan documents and add more pages before saving. A dedicated scanner can be useful if you repeatedly need its particular workflow—for example, automatic edge detection, color choices, or merging scans. Choose the tool that fits the steps you actually do.
Review the PDF before you send it
Open the saved file and check every page at normal size. Look for faint text, cut-off edges, accidental blank pages, and the correct sequence. If the recipient needs to search or copy text, test that directly: a PDF made from page images may look clear but still not contain selectable text.
The App Store listing for PDF Scanner - Easy Scan PDF describes camera scanning, automatic edge detection, color, black-and-white and grayscale options, multi-page scans, merging, and PDF export to the phone. Its listed features do not mention OCR, so do not assume that text in a scan will be searchable or selectable.
A quick scan checklist
- Use even light, a clean lens, and a contrasting flat surface.
- Keep the phone steady and the full page inside the frame.
- Inspect the crop and readability of every page.
- Confirm page order and remove accidental blank scans.
- Open the exported PDF before sending it; test text selection if that matters.
